Refund & Cancellation Policy

1. Overview
This policy sets out the rules governing refunds and cancellations for event and trip registrations made through Venturaid. It applies to all users (participants, organisers, and team members) who use the platform to register for, or to organise, activities.
Where an organiser sets a custom refund policy for their specific event or trip, that policy applies to participants in addition to this general policy. Participants are strongly encouraged to read the organiser's specific refund terms before registering.
2. Organiser Responsibility
All event and trip organisers who collect fees through or alongside the Venturaid platform agree to:
- Clearly state their refund and cancellation terms on the event/trip listing before opening registration
- Honour any refund commitments stated in their event listing
- Process approved refunds within 14 working days of a valid refund request
- Communicate promptly with participants in the event of cancellations or significant changes
- Provide refunds or reasonable alternatives if they cancel an event or trip entirely
Failure to honour these obligations may result in organiser account suspension or removal from the platform.

Force Majeure: If an event or trip is cancelled due to circumstances beyond the organiser's reasonable control (natural disaster, government restrictions, severe weather, etc.), the organiser will make reasonable efforts to offer a reschedule or partial refund. Venturaid accepts no liability for cancellations due to force majeure events.
Organisers must notify all registered participants through the platform's notification system as soon as a cancellation or major change is confirmed.
4. Cancellation by Participant
Participants who wish to cancel their registration should do so as early as possible to allow others on the waitlist to take their place. The default refund schedule (unless the organiser specifies otherwise) is:

These are default guidelines. Each organiser may set their own refund schedule, which will be shown on the event/trip registration page. The organiser's stated policy takes precedence over the default schedule above.
5. No-Shows
A "no-show" occurs when a registered participant does not attend an event or trip without prior cancellation. No-shows:
- Are not eligible for refunds under any circumstances
- Are tracked on your account — repeated no-shows may result in future registration restrictions
- Prevent waitlisted participants from taking available spots, which is unfair to the community
If you cannot attend, please cancel your registration as early as possible via your My Registrations page.
6. Payment Disputes
If you believe you are owed a refund that has not been processed, you may raise a dispute by:
- First, contacting the event organiser directly through the platform messaging system
- If unresolved within 7 days, contacting Venturaid support with full details and any evidence
Venturaid will mediate disputes in good faith but cannot guarantee recovery of funds paid outside of our platform's payment system. We strongly recommend using only the in-platform payment proof system for all transactions related to Venturaid events.
For payments processed through our payment gateway, disputes should also be raised with your bank or card provider if the organiser fails to resolve within 30 days.
7. Platform Fees
Any platform service fees charged by Venturaid (where applicable) are non-refundable once a registration is confirmed, except in cases where the event is cancelled by the organiser or where required by law.
These fees cover platform operations, payment processing, and technology infrastructure. They are separate from the organiser's event fee.
